Degree Conferral Process: Summary of Student Responsibilities

Transcripts, Diplomas, Degree Conferral, and Commencement

Transcripts and Diplomas

A degree is a credential. There are two documents that provide evidence of that credential: an official transcript and a diploma. Both are available to students who have completed all degree requirements, received degree conferrals, settled all financial obligations, and returned all library materials.

Official transcripts may be requested by alumni at any time by emailing the registrar or via Contact the Registrar.

Diplomas are printed once per year, typically in the fall after all conferral dates have been finalized from the previous Academic Year (Fall, Spring, Summer).

Degree Conferral

Degree conferral is the official process used to grant a degree. During the final term, upon receipt of the Application to Receive a Degree, the registrar works with the student’s advisor to ensure that all degree requirements have been met or are in-progress for being met by the end of the term. Once grades are finalized and all degree program requirements have been met, the registrar grants the degree and posts the degree conferral date to the official trasncript.

The degree conferral date is the date that will appear on transcripts and diplomas. Maitripa College has three degree-conferral dates per year, one each term.

  • Fall: last day of Fall Term (December)
  • Spring: date of Commencement Ceremony (May or June)
  • Summer: last day of Summer Term (July or August)

Students must be enrolled in or auditing at least one course during the term preceding the conferral date. For example, for a fall degree conferral date, students must be enrolled in or auditing one or more courses in the fall term. By the end of the selected term, all requirements must be complete.

Degree Conferral Process – Student Responsibilities

  2. Make an appointment with your advisor prior to registration for your final term to ensure that you will be meeting all of your degree requirements.
  3. At the beginning of the term in which you are applying for degree conferral, complete and submit the Application to Receive a Degree. This Application can also be found at maitripa.org/registrar/student-forms.

The Registrar will confirm receipt of the application with a list of courses showing Incomplete or In-progress to be finalized during the term.

Once grades are finalized, usually about two weeks after the last day of the term, the registrar will finalize the degree audit and, with all degree program requirements met, grant the degree and post the degree conferral date to the transcript.

Commencement Ceremony

Maitripa College honors degree recipients with an annual commencement ceremony each May. Although there are three conferral dates per year, there is only one commencement ceremony.

Students may participate in the May commencement ceremony with degree conferral dates of the preceding Fall term, the current Spring term, or if on track to complete a degree in the Summer term following commencement.

Diplomas are printed once per year, typically in the fall when all conferral dates have been finalized from the previous Academic Year (Fall, Spring, Summer).

Note: Neither participation in the commencement ceremony, nor having one’s name printed in the commencement bulletin is confirmation that a degree has been conferred.

Graduation Fees

Graduation fees cover the cost of graduation-related activities such as Commencement, the ordering, printing, mailing of your diploma, the retention of your records, and the printing and mailing of official transcripts at any time after graduation.
